How OTDZEN collects, uses, discloses, retains, and protects information across the website, buyer workspace, quote workflows, and service communications.

OTDZEN LLC ("OTDZEN," "we," "us," or "our") operates a buyer-side, dealer-independent vehicle negotiation platform for new-car purchase workflows. OTDZEN helps users request, review, compare, normalize, and negotiate itemized out-the-door vehicle quotes through digital channels. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use our website, products, services, and related communications, including at https://otdzen.app, the OTDZEN buyer workspace, our Trust Center, our support channels, and active quote-request communications that OTDZEN manages on your behalf.

1. Who We Are

OTDZEN LLC provides buyer-side software and workflow tools designed to help vehicle purchasers organize and negotiate new-car deals through digital channels. OTDZEN is not the dealer selling the vehicle, and OTDZEN is not your lender or insurer. OTDZEN's role is to provide software, automation, analysis, communication tooling, and approval-gated workflows that help you evaluate and manage vehicle quote activity.

2. Scope of This Privacy Policy

This Privacy Policy applies to information we collect:

  • when you visit or interact with the OTDZEN website or buyer workspace;
  • when you create an account or submit a vehicle request;
  • when you upload files, screenshots, emails, quotes, worksheets, or other artifacts;
  • when you communicate with us by email, web form, webchat, support request, or opt-in SMS;
  • when OTDZEN logs or manages communications with dealerships in connection with an active, customer-authorized quote request; and
  • when you use related features such as quote parsing, fee review, approval gates, or audit records.

This Privacy Policy does not govern information practices of independent dealerships, financing providers, insurers, payment processors, or other third parties that you may interact with through or alongside OTDZEN. Their own terms and privacy practices apply to their services.

3. Information We Collect

A. Information you provide directly

This may include:

  • name, email address, phone number, state, city, ZIP code, and account credentials;
  • vehicle preferences, target out-the-door price, financing mode, trade-in details you choose to provide, deal-breakers, and other request information;
  • communications you send to us or through the service;
  • support inquiries, survey responses, or feedback;
  • billing or subscription details you provide through checkout or account management interfaces; and
  • any other information you choose to submit.

B. Uploaded documents and files

When you use quote-analysis or negotiation features, you may upload or provide:

  • screenshots;
  • PDFs;
  • email files such as .eml files;
  • dealer worksheets;
  • buyer's orders, retail installment contracts, lease worksheets, or similar closing paperwork;
  • photos or images that contain pricing or vehicle details; and
  • other text or file content you ask us to analyze.

These materials may contain personal information, dealership information, vehicle details, pricing lines, financing terms, or other commercial content.

C. Communications content and metadata

We collect content and related metadata from communications associated with OTDZEN, including:

  • support emails and support request content;
  • dealership communication records associated with active vehicle quote requests;
  • message subject lines, timestamps, delivery status, routing details, and associated artifacts;
  • reply threading information such as message identifiers and reference metadata;
  • opt-in and opt-out records for service-related messaging; and
  • records of approvals, rejections, acknowledgements, or similar buyer actions.

D. Dealer communication records

If you authorize OTDZEN to help manage quote requests, OTDZEN may store records of dealership communications and related artifacts, including:

  • dealership names, rooftop details, domains, and contact paths;
  • quote responses, clarifications, and add-on disclosures;
  • normalized fee lines and pricing breakdowns;
  • screenshots, transcripts, or structured summaries generated from digital communication channels; and
  • audit records showing what was sent, received, parsed, flagged, approved, or held.

E. Device, log, usage, analytics, and cookie-type data

We and our service providers may automatically collect certain technical information, such as:

  • IP address;
  • browser type, device type, operating system, and language settings;
  • referring URLs, pages viewed, interaction data, and timestamps;
  • crash, performance, and diagnostic data;
  • cookie, local storage, or similar identifiers; and
  • security, anti-abuse, or fraud-prevention signals.

We use this information to operate, secure, maintain, and improve the service.

4. How We Use Information

  • to provide, operate, and maintain OTDZEN;

  • to analyze uploaded files, parse quotes, identify fees, and generate buyer-facing summaries, flags, and recommendations;
  • to manage, log, route, and document communications related to active vehicle quote requests;
  • to enforce buyer approval gates around deposits, financing applications, identity release, title actions, contract steps, and signatures;
  • to provide support, respond to questions, and communicate with you;
  • to process billing, subscriptions, cancellations, and refunds;
  • to monitor security, detect abuse, prevent fraud, and enforce our Terms and Conditions;
  • to perform analytics, debugging, quality assurance, and product improvement;
  • to create audit trails, maintain business records, and support compliance obligations; and
  • to comply with legal obligations or protect rights, safety, and property.

5. AI, Automation, and Quote-Analysis Disclosures

OTDZEN uses automated systems and may use AI-assisted tools to support functions such as:

  • text extraction from uploaded content;
  • quote parsing and normalization;
  • fee classification and flagging;
  • communications drafting, summarization, or analysis; and
  • comparison, scoring, or next-step recommendations.

These tools can help organize and interpret information, but they may not be perfect. Uploaded content may be incomplete, low quality, inconsistent, or ambiguous, and automated outputs can contain errors. Buyers remain responsible for reviewing quoted prices, fees, financing terms, paperwork, and any proposed next steps before acting.

OTDZEN is designed to require explicit buyer approval for higher-risk actions involving money, credit, identity release, title movement, contract acceptance, or signature.

6. How We Disclose Information

We do not sell your personal information.

A. Service providers and processors

We may share information with vendors and service providers that help us operate OTDZEN, such as providers that support hosting, storage, communications, analytics, customer support, payment processing, security, logging, AI-assisted processing, or infrastructure operations. These parties may use information only as reasonably necessary to provide services to us, subject to contractual and operational restrictions.

B. Dealership and transaction-related disclosures

If you authorize OTDZEN to assist with an active vehicle request, OTDZEN may disclose information that is reasonably necessary to communicate with dealerships, obtain quotes, clarify pricing, or advance the request in a buyer-authorized manner. Depending on the workflow and your settings, this may include request details, vehicle preferences, negotiation context, or limited contact information where release is necessary and authorized.

C. Legal, compliance, and safety purposes

We may disclose information if we believe disclosure is reasonably necessary to:

  • comply with applicable law, regulation, legal process, or enforceable governmental request;
  • protect the rights, property, or safety of OTDZEN, our users, dealerships, service providers, or others;
  • investigate fraud, abuse, or security incidents; or
  • enforce our agreements and policies.

D. Business transfers

If OTDZEN is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar corporate transaction, information may be disclosed as part of the transaction, subject to applicable confidentiality and legal requirements.

7. SMS and Messaging Privacy Disclosures

Where OTDZEN offers SMS, it is intended for opt-in, customer-care style communications tied to an active buyer-authorized vehicle quote request or support interaction. SMS is not general marketing signup and is not voice-call consent.

If you choose to opt in to SMS:

  • message frequency varies;
  • message and data rates may apply;
  • you can reply STOP to opt out;
  • you can reply HELP for help; and
  • SMS consent is not a condition of purchase.

Public SMS opt-in flow

Buyer end users opt in by visiting https://otdzen.app, starting or updating a vehicle quote request, entering their mobile number, and separately checking an unchecked consent box agreeing to receive recurring SMS from OTDZEN about that active request. At the time of collection, OTDZEN discloses that message frequency varies, message and data rates may apply, consent is not a condition of purchase, and that users can reply HELP for help or STOP to opt out. The current SMS opt-in language is: "By checking this box, I agree to receive recurring text messages from OTDZEN about my active vehicle quote request. Message frequency varies. Message and data rates may apply. Reply HELP for help and STOP to cancel. Consent is not a condition of purchase. See Privacy Policy and Terms and Conditions."

We keep records of consent, messaging preferences, message history, delivery status, and opt-out activity where appropriate.

No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes.

Information may be shared with service providers that support operational functions such as messaging delivery, customer support, or technical infrastructure. Text messaging originator opt-in data, consent records, and related mobile messaging information are not shared with third parties except as necessary to provide messaging services, comply with law, or protect rights and safety.

8. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide the service and maintain the buyer workspace;
  • preserve quote, approval, and audit records;
  • support security, fraud prevention, and dispute resolution;
  • comply with legal, tax, accounting, or regulatory obligations; and
  • enforce our agreements.

Retention periods can vary depending on the type of information, the nature of the request, and legal requirements. When information is no longer reasonably needed, we will delete, de-identify, or archive it in accordance with our retention practices, except where continued retention is required or permitted by law. Backup copies may persist for a limited period after deletion.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the data and the service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You should use reasonable care in protecting your credentials and devices and notify us promptly if you believe your account or information has been compromised.

10. Your Choices and Rights

Depending on your relationship with OTDZEN and where you live, you may have choices regarding your information, including the ability to:

  • access, review, or update certain account information;
  • change messaging preferences;
  • archive or delete certain requests or uploaded content;
  • request account deletion, subject to legal and operational exceptions;
  • opt out of non-essential communications; and
  • manage cookies or similar technologies through browser settings where available.

We may deny or limit requests where permitted by law, including where retention is necessary for security, legal compliance, fraud prevention, dispute resolution, or completion of business records.

Some U.S. state privacy laws may provide residents with rights to request access to, correction of, deletion of, or information about certain personal information we maintain, and to appeal certain decisions regarding those requests. Rights and exceptions vary by state and by the nature of the information involved.

OTDZEN does not sell personal information and does not share mobile information with third parties or affiliates for their marketing or promotional purposes.

12. Children's Privacy

OTDZEN is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete it. 13. Cross-Border Use

OTDZEN is intended for users in the United States. If you access the service from outside the United States, you understand that your information may be processed and stored in the United States or other locations where our service providers operate, subject to applicable law.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the Effective Date above and may provide additional notice where appropriate. Your continued use of OTDZEN after an updated Privacy Policy becomes effective means the updated Privacy Policy will apply going forward.
